Traffic Signal Shipment and Packaging RFQ Checklist for Export Projects

Packaging and shipment planning should begin while the traffic signal quotation is being prepared. Signal heads, controllers, poles, brackets, and project documents may have different handling requirements, so the buyer should state the destination and packing expectations before comparing supply scope.

Describe the shipment requirement clearly

Provide the destination country or port, required delivery location, preferred shipment method if known, and whether the buyer needs separate packing by location, equipment type, or installation sequence. A project with phased installation may need labels that help the contractor distribute equipment to the right junction or work zone.

Information for a packaging review

  • Final item schedule, quantities, dimensions or drawings available, and any fragile components.
  • Required outer labels, project references, language requirements, and packing-list format.
  • Whether signal heads, controllers, poles, brackets, and accessories must be packed together or separately.
  • Destination restrictions, receiving equipment, storage limitations, and planned installation sequence.
  • Requested commercial or project documents that are part of the agreed supply.

Separate packaging facts from project assumptions

Do not assume that a standard export packing method or document set meets a particular tender requirement. Put the exact requirement in the RFQ and ask the supplier to identify any missing dimensions, labeling details, or approval documents before the order is finalized.

Coordinate with the installation plan

For a multi-junction project, use packing labels that correspond to the approved equipment schedule. For replacement work, ensure that accessories and adapters are traceable to the relevant signal head. The shipping plan should support receiving and installation, not merely transport.
