A spare-parts list should be based on the equipment actually installed, not on a generic list of traffic signal products. The useful question is which components the project owner or maintenance team must be able to identify, store, and replace after handover.
Build the list from the final configuration
Start with the approved equipment schedule. Group spares by signal head type, aspect arrangement, controller or cabinet configuration, mounting hardware, and any project-specific accessories. Record the final model reference, quantity installed, and location where possible.
Questions to resolve before requesting spares
- Which items are intended to be field-replaceable under the project maintenance plan?
- Does the owner require complete assemblies, modules, lenses, brackets, connectors, or only identified consumable items?
- What documentation, labeling, and packing method will help the maintenance team identify the item later?
- Will the project keep existing controllers, poles, or wiring that affect compatibility?
- What storage conditions, destination, and handover date apply?
Avoid an unusable parts list
Do not list a part without an identifying reference and its relationship to the installed equipment. A spare that cannot be matched to the voltage, aspect, bracket, controller arrangement, or project location may not be usable when it is needed. For a replacement project, include photos, existing labels, and dimensions where permitted.
Document the handover scope
State whether the spare list is for commissioning, warranty-period support, owner inventory, or distributor stock. These purposes may require different quantities, packing, or document sets. The project contract should define responsibility for installation and maintenance rather than assuming it from a product quotation.
Use the replacement and retrofit checklist to record the existing configuration, then send quantities and target scope through the RFQ form.
