Multi-Intersection Traffic Signal RFQ Planning Guide for Project Procurement

A multi-intersection purchase needs a project schedule, not a single total quantity. Each location can have a different signal layout, controller requirement, mounting arrangement, and delivery sequence. Grouping similar configurations makes the quotation clearer while preserving the details that differ between junctions.

Create a location-by-location schedule

Assign a reference to every junction, crossing, roadwork zone, or controlled access point. For each reference, list the required signal heads, display layout, controllers, poles or brackets, quantities, drawings, and project status. Use the same reference on the RFQ, packing plan, and receiving record.

Group common configurations

  • Identify signal-head configurations that repeat across several locations.
  • Separate standard items from location-specific mounting or controller requirements.
  • Record expected delivery phase, destination, and installation order for each group.
  • List open approvals or site measurements that could change the final scope.
  • Identify documents needed for each location or for the whole project.

Protect against quantity and interface errors

Total quantities alone do not show which parts belong together. A controller may be matched to one junction’s signal arrangement but not another’s, and a bracket or pole may depend on a specific drawing. Keep equipment groups traceable to their location and approved configuration.

Plan receiving and handover early

For phased deliveries, specify whether equipment must be packed by location, by item type, or by installation sequence. The receiver should be able to compare packages with the same location schedule used during quotation. This reduces re-sorting work and makes discrepancies easier to report.
